Privacy Policy

This Privacy Policy explains how VenueFuze — a product of Zafronix LLC, a Wyoming limited liability company (“VenueFuze,” “we,” “us”) — collects, uses, and shares personal information when event organizers and their attendees use the VenueFuze platform.

1. Information we collect

Organizer accounts. Name, email, role, and organization details supplied during sign-up or member invite. Optional contact phone, address, and reporting hierarchy.

Attendees. First and last name, email address, and optionally phone number — captured at checkout, ticket transfer, or auction registration. We never request national ID, government ID, or social security numbers.

Payment information. Card details are entered directly into Stripe's hosted checkout and never touch VenueFuze servers. We retain only the Stripe payment intent identifier, the order total, and payment status for receipts and refunds.

Operational data. Scan logs (when a ticket QR is presented at the gate), bid history, broadcast read receipts, sponsor attachments, and activity events used to power the operator dashboard.

Technical data. IP address, browser user agent, and request paths needed to operate the service, detect abuse, and produce coarse geographic analytics on event-page visits.

2. How we use information

• To deliver tickets, process payments, and produce receipts.
• To enable organizers to operate their events (check-in, attendee lookup, refunds, auction settlement, sponsor and vendor management).
• To send transactional emails — ticket confirmations, auction win notices, refund confirmations, organizer broadcasts that the attendee has opted into.
• To detect, investigate, and prevent fraud, abuse, and unauthorized access.
• To improve the product. Aggregated, non-identifying metrics (e.g. count of events created) inform roadmap decisions.

3. Sharing with organizers

When an attendee purchases a ticket, RSVPs, or bids, the attending organizer receives the attendee's contact and ticketing information for that event. Organizers are independent data controllers for their attendee data and are responsible for honoring their attendees' privacy choices outside the VenueFuze platform.

4. Sharing with service providers

We share necessary information with:

• Stripe Inc. for payment processing. Stripe handles cardholder data under PCI-DSS and its own privacy policy.
• Resend for transactional email delivery.
• ip-api.com for IP geolocation (coarse city-level only).
• Self-hosted infrastructure (Linux servers we operate on behalf of VenueFuze) for database storage and request serving.

We do not sell personal information. We do not share data with advertisers or rent attendee lists.

5. Retention

Order, ticket, and scan-log data are retained for the life of the organizing customer's account plus 7 years to satisfy tax and recordkeeping obligations. Attendees who request deletion of their record can email privacy@venuefuze.com; we'll remove identifiers from active surfaces, retaining only anonymized records required for legal compliance.

6. Security

Data is encrypted in transit (TLS 1.2+). At-rest encryption is applied to the Postgres database via disk-level encryption. Access to production data is restricted to named operators with audit-logged shell access.

7. Children's privacy

VenueFuze is intended for use by adults purchasing or managing event tickets. We do not knowingly collect personal information from children under 13. Parents who believe their child has provided information should contact privacy@venuefuze.com.

8. Your rights

You may request access to, correction of, or deletion of the personal information we hold about you. Requests should be directed to privacy@venuefuze.com. We respond within 30 days.

9. International transfers

VenueFuze is operated from the United States. By using the service from outside the U.S., you consent to processing in the U.S. Our European customers should also review our Data Processing Addendum.

10. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes affecting attendee data will be announced to organizers in advance.
